Office Manager (20-29 hours/week)
Organizational Overview
Jamestown Fine Arts Association is a vibrant nonprofit organization dedicated to “Enriching the Jamestown Community through the Arts,” promoting arts access, providing community services, and advancing education for all ages. We rely on a team of staff, board members, and volunteers to make a meaningful impact in our community.
Position Summary
The Office Manager ensures the smooth day-to-day operations of the organization by overseeing administrative systems, managing office and facility logistics, and supporting the staff, volunteers, and board members. This person is often the first point of contact for the public and plays a vital role in fostering a welcoming and organized environment.
Key Responsibilities
Administrative Support
- Serve as primary point of contact for phone, email, and in-person inquiries
- Maintain membership database
- Adding/updating constituent information
- Sending out membership renewals
- Coordinate class registrations
- Responsible for Class Registration
- Arts After School tracking and registration
- Monitor class fees and collect payments as needed.
- Support the Executive Director and Education and Exhibitions Director in day-to-day activities.
Office & Facilities Management
- Order and maintain office, program, and class supplies
- Oversee the use of shared or rented spaces, including event and class setup
- Serve as liaison with vendors and service providers
- Ensure facilities are clean, safe, and welcoming
Finance & Records
- Maintain accurate donor, vendor, and grant records
- Maintain membership database
Communications & Technology
- Assist with internal and external communications, including mailings and newsletters.
- Maintain contact databases and mailing lists
- Support updates to the website and social media as needed
- Assist with marketing materials as needed
Qualifications
- Proven experience in office administration, facilities management, or nonprofit operations (minimum 2 years experience)
- Strong organizational and multitasking skills with attention to detail
- Proficient in database management or CRM systems
- Excellent written and verbal communication skills
- Ability to work independently and collaboratively in a small team environment
- Commitment to the mission and values of the organization
Preferred Qualifications
- Familiarity with nonprofit finance and donor management
- Experience working with volunteers or community-based organizations
- Clerical/bookkeeping experience (not required)
